1. The dates for the next few pod meetings have been set and shared in your calendar. There will be visibility on pods one month ahead at all times.
2. If a member wants a date change, he/she is responsible to communicate the proposed date(s) to fellow pod members on the pod group on WhatsApp at least 14 days in advance. If even one member isn’t able to accommodate the new date, the date will remain unchanged.
3. If a member is unable to attend a pod meeting, he/she is required to update the fellow pod members and the Offline team in the pod group on WhatsApp immediately.
4. If 4 or more members do not confirm their attendance for the upcoming pod sessions in the calendar invite up to 5 days before the session, we will cancel the pod session. If we hear from members with a request for an alternative date with a group consensus, we will reschedule the pod to that date subject to facilitator availability.
5. Meetings will go on for a maximum of 3 hours.
6. Members must arrive at the venue no later than 10 minutes into the start of the meeting. Members are encouraged to arrive 10-15 minutes early to interact with others before the session begins.
7. Members are expected to attend at least 10 sessions in person in a year.
8. The option to join the session virtually is only in the case of emergencies or health reasons, up to twice a year.
9. If a member misses 3 or more pods, he/she will be removed from the pod and added to a new pod after the following intake of new members.
10. A 3-month sabbatical is possible in case of emergencies only, after informing very clearly to all fellow pod members.
11. In case of a conflict, it is advised that members first attempt to resolve the matter between individuals involved, moderated by the facilitator if required. If the conflict is not resolved, it must be brought forward to the entire pod for a group effort. If the issue still persists, an Offline Council member will be involved to help with the matter.
12. Communication devices such as phones and laptops are not to be used during the meeting unless there’s an emergency, which needs to be informed to the facilitator and other pod members.
13. Members are encouraged to bring their Offline journals along with them to each meeting, and use them to record insights, feelings and ideas between sessions.
14. During the meeting, members are expected to:
Participate and stay engaged
Listen with full attention
Ensure punctuality
Avoid distractions - phones, computers
Support a safe space and confidentiality
Enjoy the conversations
15. All members must adhere to the privacy pledge and assume 100% confidentiality for matters discussed during pod meetings.
16. Any solicitation or promoting of businesses is not permitted during pod meetings.
